ICAI UDIN: LOG-IN, GENERATE AND VERIFY

ICAI UDIN is a unique document identification number that is generated for every document certified/attested by practicing-chartered accountants. It will be registered with the UDIN portal on the website.

It is mandatory to obtain UDIN for all certificates issued where the Financial Information/ related contents are certified as the true and fair view of the state of affairs of the entity.

It should be noted that the certificates include reports issued instead of a certificate in terms of guidance notes on reports or certificates for special purposes. The objective of UDIN is to ensure that there is no misrepresentation by the entity issuing/submitting such a document.

What Is ICAI UDIN?

An advanced solution for document verification is a unique document identification number. The introduction of UDIN in form of attestation of Chartered accountants that the investors and other stakeholders can rely on the performance of an entity. It is a 15-digit system-generated unique number to be entered on every document certified/ attested by practicing-chartered accountants and registered with the UDIN portal. In today’s time, uncertified people pretending to be chartered accountants have been spreading misleading information. 

The Institute of Chartered Accountants of India (ICAI) created a new system to assist all Chartered Accountants. Every Chartered Accountant must obtain the ICAI UDIN to issue the documents and certificates by the person. This order was effective as of 1st July 2019. It is applicable to corporate Audits, Attests, Assurances. CA firms cannot register at the Unique Document Identification Number Portal; only full-time Practicing Chartered Accountants are permitted to register.

How to UDIN Login?

You have to be a member of The Institute of Chartered Account of India to log in. The UDIN ICAI portal allows you to member login and generates the UDIN. Following are the steps to log in for the generation of UDIN.

1. You have to enter the Username provided by the institute

2. Enter your Password and

3. Enter the Captcha code to member login for ICAI UDIN.

When you are registering for the first time then you have to follow the steps given below:

Step 1: Click “first time sign-up”

Step 2: The registration window will be opened. After entering the six-digit membership number; date of birth and year of enrolment. Please click “Send OTP”. An OTP will be sent to the registered email address and mobile number of the member.

Step 3: On confirmation of OTP as received, a username and password will be sent to the registered email and mobile number.

What is UDIN ICSI?

The attestation of a Company Secretary on a certificate or any such document is of immense value since it signifies his/her professional opinion. It ensures that there is no misrepresentation by the entity while issuing such a document. It is similar to ICAI UDIN in terms of attestation of documents.

Objectives of UDIN

1. To enable the stakeholders to verify the authenticity of various documents certified by Company secretaries in practice.

2. Prevent counterfeiting of various attestations/certifications;

3. To provide ease of maintaining the register of Attestation/ certification services rendered by practicing members.

Important Note: Only PCS can generate UDIN, a CS in employment cannot generate UDIN.

The name of the recipient of the professional service, company number of the client shall be given at the time of generation of UDIN.

What is UDIN generation?

UDIN is generated when the certificate is being signed. The same can be generated within fifteen days of the signing of the certificate. Only a Practicing CA can generate UDIN for certificates and documents after registration on the portal. By following the steps given below you can generate the ICAI UDIN:

Step 1: Visit the UDIN portal.

Step 2: Enter the username received from your email address during registration.

Step 3: To keep the login secured, the user must change their password during the first login.

Step 4: Click on the "Generate UDIN" button and enter the following information:

    • Date of signing the document.
    • Enter two financial figures
    • Description of figures
    • Document description

The keywords and their values. Keywords can be any word with its amount according to the document generated by the UDIN. When the CA is searching for turnover of an entity, the keyword here would be "turnover", then the amount is provided. For each document, ensure to use three keywords.

Step 5: Check all details entered on ICAI UDIN and then click on the Send OTP button.

Step 6: The OTP is sent to the registered email address and mobile number. Then enter the OTP.

Step 7: If there are any errors, the portal will notify you, or else Click “Submit”.

Important note: Once details have been submitted, they cannot be changed or modified by the user before click the submit button to the portal.

UDIN Number

UDIN number is described using 18 digits. When generated from the portal, the format will be as follows. The Unique number is given by ICAI UDIN to practicing chartered accountants.

    • The first two digits state the current year
    • The next six digits denotes membership registration number of the CA.
    • The last ten digits are randomly generated alpha-numeric codes.

Once the process is complete, the UDIN number cannot be modified. The CA can also revoke the document by searching for it on the portal and clicking on "revoke" button. Then, the report will be revoked if you describe how to reverse the document.

How to Verify UDIN?

The UDIN can be verified by clicking on “Verify UDIN” on the UDIN portal by following the steps:

Step 1: Please click on “UDIN Verify” on the ICAI UDIN verification portal.

Step 2: A page will have few details for verification

Step 3: Enter the following details including the Name, mobile number, and E-mail ID of the authority.
